Office Coordinator
Southern IL Scale works with customers on weighing related aspects of their operations. We specialize in farming and agriculture weighing applications. Our expertise ranges from heavy capacity truck weighing through to hopper scales and bench scales. Our team of technicians serve the IL area and adjoining states. We partner with a range of equipment manufacturers and are consistently one of the largest Fairbanks heavy capacity distributors in the USA.
The purpose of this key customer facing role is to successfully install, calibrate and problem solve customer weighing equipment. As a front-line position, this role directly contributes to the impression customers have of SISC as a scale company of choice – this includes the professional and timely completion of installations and service work along with successfully solving technical problems on site. The role requires an in depth understanding of scales, their installation, and maintenance and problem resolution and requisite qualifications. Work must comply with the 17025 standard.
The role directly contributes to the success of Southern IL Scale as a provider of weighing expertise and the success to perform this central service for our customers and the profitability of the business.

Responsibilities
Front of House
- Ensure phones are answered and handled in a timely manner
- Accurately maintain company/customer details in M-files
- Oversee M-files scale recording, linkage to work orders and preparation of paperwork to assist technicians to operate efficiently.
Fulfillment
- Ensure orders are entered correctly and timely order acknowledgements.
- Work with customers and scale technicians on timely efficient work scheduling.
- Ensure correct jobs are raised in a timely manner and feedback any corrections or improvement in WI’s
- Work with LK team to ensure maintenance of workorders and accurate SYSPRO sales orders and daily invoicing.
Purchasing
- Work with purchasing staff to ensure purchase orders are raised correctly, authorized, and received in correctly.
- Raise PO’s were required for urgent local deliveries
- Communicate order timing with customers and dispatch staff according to when bought out parts arrive
Logistics
- Ensure daily freight handling – shipments out and incoming parts
- Ensure accurate freight on charging and recording
Finance
- Local banking working with admin team (remittances and checks)
- Ensure local compliance (IFTA, licensing)
Skills, behaviours and knowledge required to do the job:
- Microsoft applications – Word, Excel, Outlook, CRM, Internet searching.
- Order Entry and ERP Experience preferred
- Accurate data entry
- Telephone skills – polite telephone skills and follow up with customers, technicians and suppliers
- Excellent written and spoken English communication skills.
- Active listening — the ability to listen to and understand information and ideas presented through spoken words.
- Problem solving, specifically related to solving customer problems relating to supply and/or logistics.
